SWH Party Rentals- Tent Rental Terms and Conditions
Reserving equipment:Quotes and proposals do not guarantee availability of rental equipment.Tents are reserved only upon receipt of a signed rental contract and a 50% deposit. Final payment is due no later than 3 days prior to the day of installation, Unless prior agreement has been requested and approved. Tents are subject to availability.
Accounts Receivable Customers: To guarantee your tent reservation, a signed copy of an order is required. Full payment is due fifteen 15 days, up to 30 days, from invoice terms. After 30 days, unpaid balances will accrue interest.
Payment: Customer shall pay a 50% on all Tent Orders in order to confirm and reserve your equipment. 25% serves as a down payment towards the final bill. Your deposit is our commitment to you that the items you requested will be available for the date of your event. Down payments must be confirmed, at latest, 10 days prior to your event and paid in full 24 hours prior to delivery. Unless “Upon-Delivery” arrangement, or other arrangement, has been made and agreed upon by both parties in advance.
Refunds:. All charges are for equipment time out, whether used or not, and will NOT be refunded. Southwest Hospitality will not make a refund for any items out over 30 minutes from Delivery or Store pickup. If equipment/item is not to be in working order, Southwest Hospitality Party Rentals must be notified immediately for any kind of exchange or refund.
Drivers cannot issue refunds.
Cancellations. When you reserve a tent and any accessories, the items/equipment are immediately removed from our inventory, therefore any cancellation received within 10 days of the installation date will result in forfeiting 25% of deposit. Cancellations received more than 10 days prior to your event will forfeit the 50% deposit. Cancellation of a tent order made less than 3 days prior to installation date forfeits full 50% deposit of the tent rental.
Damage Waiver: Customer has option of adding damage waiver fee to their invoice for tents and other items rented for security against damaged equipment.. Reckless use of equipment, and intentional damage will not be covered. This is not an insurance plan and will not cover personal injury or property damage. This is an additional 10% charge added to subtotal costs.
Site Preparation: Our standard installation method involves building a tent at ground level. It is important to have the area clear of obstacles and obstructions before the installation crew arrives. Stand-by fees will be assessed if an area is not prepared and our crew is not able to begin an installation. Client will also inform Southwest Hospitality Party Rentals of any existing underground utilities or impediments that may affect the ability to stake and/or anchor the tent or equipment. Tent must be cleared of any non-permanent objects (other than our equipment) before a tent take-down. NOTE: ALL Tents are staked, with a very fe exceptions for use of water barrels on smaller tents on one-day rentals.
Tent Installation: Installation of a tent must be done correctly. To insure so, it is our strict policy that all installations and take downs are done by our experienced crews. All prices quoted are included these services.
Cleanup/Pickup Trash or decorations of any kind must be removed from tent before time of scheduled pickup. Tables and chairs must be stacked as they were delivered. Linens should be food and particle free and placed into the bags provided. Linens with burns, holes, tears, or permanent stains will be billed at replacement cost. Client must return grills, stove tops, cooking equipment, etc. cleaned or will be charged cleaning fee.
Permits: It is the responsibility of the renter to check with your Building Permit and Fire Departments prior to the installation date to confirm the requirement of permits. We will assist in receiving information on such, but these clearances remain the responsibility of the renter.
Weather: Client understands that tents are temporary structures designed to provide limited protection from weather conditions, primarily sun and rain; however there may be situations involving strong winds and lightning, in which the tents will not provide protection and may even be damaged or blown over. Evacuation of tents to avoid possible injury is recommended when severe weather threatens the area where the tents are erected. It is the client’s responsibility to be aware of changing weather conditions and to exercise its best judgment with regard to the evacuation of tents.
Indemnification & Defense: Client agrees that if any legal proceedings are brought againstSouthwest Hospitality Party Rentlas to recover compensation for injuries to individuals or damages to personal property occurring in connection with the event, Customer will provide a defense foSWH Party Rentals and any employees named in such proceedings and will indemnify Southwest Hospitality Party Rentals and its employees for any judgment rendered against them.
Equipment shall be returned according to these TERMS AND CONDITIONS. Customer is solely responsible for any additional charges or fees incurred as a result of failure to meet these terms and conditions. All collection fees, attorney fees, court costs, or any expense involved in the collection of rental charges are Client's responsibility.
